KDP Always

Privacy Policy

Last updated 12 October 2026

This policy explains what personal data KDP Always handles, why, and what choices you have. KDP Always calculates Amazon KDP print cover dimensions and checks cover files against KDP print rules.

Who runs this service

For any privacy question about KDP Always, or to use the rights below, email hello@kdpalways.com

Your cover files

When you upload a cover, we process it only to run the checks and produce your corrected file. We never keep a copy of your file. We do not store it, share it, or reuse it.

Account data

If you sign in, we use Clerk to manage your account. We keep your email address, your download credits and purchase history, your template downloads, and a record of each cover check. A check record is the specifications you entered (trim size, page count, ink, paper, binding) and how many issues were found. It never includes your cover file. We use this to run your account and to see which specifications and problems are most common so we can improve the tool.

Payment data

When you buy a corrected cover, payment is handled by our payment provider. You enter your card details on their systems, not ours, and we never see or store your full card number. We keep a record that a purchase was made, the amount, and its status.

Analytics

We use Google Analytics to see how people use the tool, so we can improve it. It runs only after you accept analytics in the cookie banner. Until then, it places no cookies on your device and does not identify you. We do not sell your data. You can change your choice at any time from the Cookie settings link in the footer.

Security logs

When a request to our service is blocked for hitting a rate limit, we record it so we can spot and stop abuse. This record includes the time, the network address the request came from, the page it targeted, the browser or program that sent it, and, if you were signed in, your account. We use this only to protect the service and the people using it. We keep these logs for up to 90 days and then delete them.

Legal bases

We process account and purchase data to provide the service you asked for and to meet tax and accounting law. We process check records for our legitimate interest in improving the tool. We process security logs for our legitimate interest in keeping the service safe and available. We process analytics only with your consent.

Who we share data with

We use a small number of providers to run KDP Always: Clerk (sign-in), our payment provider (payments), Google Analytics (usage analytics, only with your consent), and our hosting and database providers. They act on our instructions and only for the purposes above. We do not sell your data and we do not share it for anyone else’s marketing.

Where your data is processed

Some of these providers are based in the United States, so your data may be processed there. Where that happens, we rely on the safeguards those providers offer for international transfers, such as the European Commission’s standard contractual clauses.

How long we keep data

Your account and purchase records are kept for as long as you have an account, and for up to 10 years afterwards where accounting law requires us to keep transaction records. Check records and analytics are kept in aggregate to track trends. Security logs are kept for a short period, as described above, and then deleted. Your cover file is not kept at all. You can ask us to delete your account data at any time.

Your rights

Depending on where you live, you have rights over your personal data: to see what we hold, to correct it, to ask us to delete it, to limit or object to how we use it, and to withdraw consent for analytics. These rights have legal limits. For example, we cannot delete records we must keep for tax and accounting, and asking us to delete your account data means closing your account, which also ends any unused download credits.

If something is wrong, email hello@kdpalways.com first and we will try to put it right. If you are in the UK or EU and you are still not satisfied, you have the right to raise it with your local data protection authority.

Children

KDP Always is for authors and publishers and is not directed at children.

Changes

If we change this policy, we will update the date above. Significant changes will be announced on the site.
